Welcome to our new IHG client: using DocMX to collaborate remotely

Situated in a historic town on the Portuguese Riviera, the InterContinental Cascais-Estoril hotel boasts inspiring views over the Atlantic Ocean, combining the heritage of the past with the modernity of the present. Having digitised large parts of its financial operations like daily income auditing, the team were equipped to work remotely during the Covid-19 lockdown.

From paperwork to digital income audits

The IHG finance and accounting team decided to start their digitisation by moving away from the paper-based daily transaction auditing. The time-consuming and wasteful process was identified as the best place to start the digitisation journey.

“The key pain points that prompted us to implement DocMX were the time wasted auditing all the piles of paper each day, and the paper we waste on doing that. We also struggled to conduct timely approvals with papers flying around and sometimes missed.” says Diogo Gaspar, Income Auditor at the InterContinental hotel.

With the DocMX dashboard, all daily transactions are pulled into one place, scanned in or automatically ingested from 3rd party systems like the PMS. Once the reports are complete, the approval workflow goes from night manager or income auditor, to the director of finance, department heads, or anyone else who needs to get involved.

Working from home during the lockdown

This digitisation meant that when the Covid-19 social distancing measures were implemented, the team had the right tool to continue working remotely.

“With DocMX, I was able to do all my job functions at home during the social-distancing period related to Covid-19. I simply needed to login and audit/approve the automated documents. I could almost “live chat” with colleagues within reports, to ask things if needed.”

In the near future, the team plans to expand its use of DocMX to Accounts Payable, Accounts Receivable and other processes. “We are looking forward to improving our ways of working, and taking it to the next level with all the DocMX technology!”
